Privacy notice

This notice explains what happens to information you share with XP-LABS through this website. It is written to be read, not to be survived. If anything here is unclear, email info@xp-labs.co.za and we will explain it.

Who we are

XP-LABS is an independent software studio based in South Africa. For the purposes of the Protection of Personal Information Act (POPIA) we are the responsible party for the data described below. Our contact address for privacy matters is info@xp-labs.co.za.

What we collect

  • What you type into the contact form: your name, email address, optional company name, the enquiry type you selected and your project brief.
  • Basic technical context sent with that form: your IP address, browser user agent and the time of submission. We keep these to investigate spam and abuse.
  • Page views: each time a page is loaded we record the page address, the date and time, your IP address, your browser user agent and the referring site, if any.
  • Server logs kept automatically by our hosting provider, in the ordinary course of running a web server.

About the visitor statistics

We count visitors ourselves rather than handing that job to a third party. There are no advertising trackers, no analytics scripts and no third-party embeds on this site — fonts and images are served from our own server, so loading a page does not report your visit to anyone but us.

Your IP address is the only thing that distinguishes one visitor from another in those figures. We use it to answer questions like “how many different people read this page this week”. We do not build profiles, follow you between sites, or combine this data with anything else. Known search-engine crawlers are discarded rather than counted.

Cookies

One cookie: a standard PHP session cookie set when the contact form is displayed. It carries no personal information, protects the form against cross-site request forgery, and expires when you close your browser. The visitor statistics use no cookies at all.

Why we use it

Only to read your enquiry, reply to it, and carry on the conversation that follows. We do not sell your details, add you to a marketing list, or share them with third parties for their own purposes.

How long we keep it

Enquiries are retained for as long as we have an active or prospective working relationship, and for up to 24 months afterwards so we can pick up a conversation where it left off. Page-view records are kept for up to 24 months. You can ask us to delete your enquiry sooner at any time.

Where it is stored

Enquiries are stored in a database on the server that hosts this site, emailed to our business mailbox, and copied to a log file as a backup. A copy is also emailed to you as a receipt. Page-view records live in the same database. Access is limited to XP-LABS personnel through a password-protected admin area.

Your rights

You may ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Email info@xp-labs.co.za and we will respond within a reasonable period. If you believe we have handled your information badly, you may lodge a complaint with the Information Regulator of South Africa.

Changes

If this notice changes we will update the date at the top of the page. Material changes will be summarised here rather than buried.
